SOCIAL DEVELOPMENT ASSISTANT
POSITION: Social Development Assistant
WORK HOURS: Monday to Friday, 8:30 am to 4:30 pm, 35 hours per week
REPORTS TO: Social Development Manager
JOB SUMMARY
The role of the Social Development Assistant is to work within a multi-disciplinary team to ensure that the Social Development Department has support with overseeing the delivery of social programs. This role assists in program administration.
Duties and Responsibilities:
- Perform related clerical duties for Social Development Program, such as word processing, maintaining filing and record systems, faxing and photocopying.
- Effective document control, researching the mandatory provisions regarding storage, retention, production and security of records.
- Compile and maintain data for funding applications, reports, and renewal submissions.
- Perform grant research as needed to help the team
- Monitor program budgets, invoice processing, and financial record-keeping.
- Maintain documentation to support audits, compliance checks, and funding reviews.
- Review files from storage, sort and ensure that the records are properly secured and there is no unauthorized access to or copying of records.
- Work closely with Social Development Manager and Health Department team to perform duties as requested.
- Update calendars and schedule meetings with team and external organizations when needed.
- Work with the Team to organize visiting schedules, book facilities on or off site and ensure the physical access location is clean, comfortable and safe.
- Work with internal and external resources to assist with planning, organizing and executing prevention workshops, community wellness days, cultural nights, elder trips, and youth trips, etc.,.
- Be outgoing and proactive in maintaining respectful relationships with partnering organizations and town resources.
- Perform clerical and/or Receptionist duties when Sekw’el’was Receptionist is away.
- Answers and direct calls to appropriate team members.
- Making preparations for events, meetings or committees.
- Work with Youth and Elders;
- Prepare notices and design posters for events;
- Research for the team when needed;
- Commitment to confidentiality, professional development, and ethical practice.
- Respond to general inquiries and requests for information whenever possible.
- Maintain office supplies, ordering new and replacement stock as required.
- Other duties as assigned;
Qualifications:
- Post Secondary Education certificates or diplomas in related field an asset
- Computer literacy, including effective working skills MS Word, Excel, Email and Power point.
- Excellent attention to detail and ability to multi-task
- Ability to communicate effectively, orally and in writing.
- Exceptional organization and time management skills
- Must be self-motivated and proactive
- Enjoy working as part of a team
- Valid driver’s licence would be an asset
Salary Range: $20 to $ 24 / hour depending on skills and qualifications
Term: Indefinite (upon completion of probation)
Scope: Full Time, 35 hours per week
